The role

We are partnering with a high-growth, infrastructure and media business that acquires and manages outdoor advertising assets across Australia.

They are seeking a highly organised, commercially minded EA to support the Australian Managing Director while providing hands-on commercial and operational support across deals, sales activity, and day-to-day operations. This role is roughly 50% EA and 50% commercial support – ideal for someone who wants variety, visibility, and to be a true right hand to a busy MD.

You will provide high-level executive support to the MD while helping keep commercial pipelines, proposals, and operational processes moving. You’ll be the trusted organiser, problem-solver, and first point of contact on the MD’s behalf.

Key responsibilities in this role include:
  • Providing proactive EA support to the MD: managing diary and inbox, coordinating domestic and international travel, processing expenses, taking meeting minutes, and handling calls and enquiries in his “voice.”
  • Supporting commercial and sales activity: preparing proposals and pitch decks, coordinating deal documents and finders’ fee agreements, researching property owners, sending lead letters, and assisting with email campaigns and newsletters.
  • Managing sales and admin workflows: responding to incoming leads, conducting initial discovery, and updating CRM tools such as Pipedrive and related trackers.
  • Overseeing financial and invoicing administration: sending and tracking invoices, approving and following up in finance systems, checking payments, and liaising with head office on queries.
  • Coordinating office, IT, and operations: managing stationery and supplies, coordinating IT equipment and vendors, and ensuring smooth day-to-day office operations.
  • Acting as a central stakeholder contact: engaging professionally with property owners, landlords, media partners, contractors, and suppliers on behalf of the MD and the business.
About you

You are a motivated, detail-oriented operator who enjoys being close to the action and supporting both an executive and the commercial side of the business. You’re comfortable in a fast-paced environment and confident juggling competing priorities.
You will bring:
  • Strong EA/PA experience supporting a senior leader in a commercial, financial, property, or media environment.
  • Excellent organisational and coordination skills with high attention to detail and follow-through.
  • Strong Excel skills and solid PowerPoint capability.
  • Financial literacy and experience with invoicing and basic financial processes.
  • Clear, articulate written and verbal communication skills.
  • A proactive, solutions-focused mindset with the ability to anticipate needs and operate with minimal supervision.
  • Confidence managing multiple workstreams and deadlines in a small, growing team.
Nice to have (not essential):
  • Experience in private equity, infrastructure funds, banking, M&A, or corporate finance.
  • Background in real estate/property, media agencies, or advertising agencies.
  • Experience working with international stakeholders.
  • Degree-qualified with a few years’ experience in a commercial, operations, or EA role.
