The Company
Our large NSW State Government client is a State-wide organisation established to provide high-quality shared services to support the delivery of patient care within the NSW Health System.
 
The Role
They are currently seeking Personal Assistant to join their growing team in Newcastle! This is an estimated 6-month temporary assignment, with a potential to extend.
 
Working within the Health Pathology Unit, you will be responsible for providing a wide range of personal assistance and business support.
 
Responsibilities
  • Proactively maintain the Director's diary, monitor and screen telephone enquiries and review to manage incoming and outgoing mail
  • Manage the Directors incoming communications, including all correspondence, email and telephone
  • Manage travel and other organisational arrangements including conference bookings and other staff as required
  • Undertake projects relevant to needs including setting project objectives and reporting on results.
  • Provide secretariat and logistical support to portfolio and other meetings and committees chaired by the Directors including the preparation of agendas.
  • Maintain records including attendance recording and leave management.
  • Ensure administrative support processes and procedures are in place.
  • Liaise with the Directors on workload and priority issues that may require additional resources
  • Manage shared inbox, triaging emails, generating correspondence
  • Records and database management ensuring high integrity, accuracy and confidentiality 
  • Ordering stationery and maintaining office equipment
  • Ensure compliance with best practice and legislative requirements
 
About You
  • Impeccable communication skills, both verbal and written
  • Strong computer literacy and proficiency with MS office suite and Oracle
  • Superior organisational skills with the ability to prioritise and multi-task competing deadlines/timeframes
  • High attention to detail
  • Solid conflict resolution and problem-solving skills
 
 
Requirements
  • Demonstrated Personal Assistance, Administration or Business Support experience
  • Health or Public Sector experience advantageous
  • Willingness to complete a National Police Check
  • Ability to commence and commit to the duration of the assignment
