About the Role
An exciting opportunity is available for an experienced Project Administrator to support a major Project. Reporting directly to the Development Director, this role will play a critical coordination and administration function within the Development Management team.
 
The successful candidate will work closely with Development Managers across engineering, architecture, and planning disciplines. This is a highly collaborative environment requiring a proactive and organized professional who can confidently manage competing priorities, maintain high-quality documentation, and ensure timely coordination across stakeholders.
 
This role is ideally suited to someone with strong project coordination experience who can operate effectively within a structured, hierarchical, and process-driven environment. The position is focused on project administration and coordination with a strong emphasis on reliability, responsiveness, and quality of deliverables.
 
Key Responsibilities
  • Provide high-level administrative and coordination support to the Development Director and Development Management team.
  • Coordinate calendars, meetings, workshops, and stakeholder engagements across multiple project teams and metro sites.
  • Prepare meeting agendas, take accurate minutes, track actions, and follow up on outstanding items.
  • Assist with the preparation and coordination of reports, presentations, memorandums, and project documentation for senior leadership and stakeholders.
  • Support the preparation of visually clear, professional, and easy-to-digest presentations and reporting materials.
  • Maintain project documentation, governance records, filing systems, and document control processes.
  • Assist with project governance administration, including governance structures, project delivery agreements, and reporting requirements.
  • Maintain project schedules, action registers, and coordination trackers to ensure deadlines and priorities are met.
  • Liaise with internal teams including engineering, architecture, planning, procurement, and delivery stakeholders to keep projects progressing.
  • Support procurement coordination activities, ensuring stakeholders remain aligned with required timelines and deliverables.
  • Keep senior leadership informed on project status, outstanding actions, risks, and priorities.
  • Ensure all project records, correspondence, reports, and documentation are accurate, timely, and professionally presented.
  • Assist in the preparation of weekly and monthly reporting for senior management.
Skills & Experience
  • Previous experience in Project Administration, Project Coordination, or Team Coordination within property development, construction, infrastructure, or related industries.
  • Experience supporting senior leadership and multidisciplinary project delivery teams within complex project environments.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • High attention to detail with a strong focus on quality, accuracy, and timely delivery of documentation.
  • Confident communicator with the ability to coordinate across stakeholders and hold their ground in a professional manner.
  • Strong written communication skills with experience preparing reports, presentations, meeting minutes, and project memorandums.
  • Demonstrated ability to work effectively within a structured, hierarchical, and governance-driven environment.
  • Understanding of project governance processes and project delivery frameworks is highly regarded.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint, Word, Excel, and document management systems.
  • Reliable, proactive, and responsive approach to supporting project teams and leadership.
